Features - one studio day

DOORS SHUT TO CASH-UP.

Runavel is not a pile of features - it is the shape of a working day. Follow one Thursday from doors-shut to cashing up and see where the diary, the paperwork and the money each land.

The diary 08:30 - doors not open yet

ONE BOARD. NOT THREE.

The calendar is the studio's day. Bookings sit side by side per artist, move by dragging, and a clash is refused by the database rather than by a warning nobody reads.

  • Day, week, month and agenda - Four ways to look at the same day, because a walk-in and a month's planning are not the same question.
  • Opening hours and time off - Per studio, per artist. The calendar only offers hours the studio is actually open.
  • Reminders before the appointment - By email always, and by text message for a studio that switches it on. Every attempt is recorded, including the ones we deliberately did not send, so a missing reminder is visible rather than assumed.
  • Enquiries become bookings - A public form with reference photos arrives as an enquiry, and turns into a booking in one step.
Bookings and the calendar

The paperwork 09:45 - first client in the chair

SIGNED ON GLASS.

The question a studio actually asks is "has she signed the consent form?" - and it should take a second, not a folder.

  • One timeline per client - Visits, messages, payments, consent forms and photo permissions, newest first.
  • Consent signed on a phone - Signed on the tablet at the desk and stored as a PDF in an encrypted vault.
  • Age and guardian rules - Per treatment, so the form asks what that treatment requires rather than what a template requires.
  • Erasure that keeps the paperwork - A client can be erased: personal details go, the signed consent and the payment record stay, because those are the studio's legal defence.

IT NEVER FORGETS.

Deposits and payments are recorded against the booking they belong to, so the month is a number the studio can check rather than one it hopes is right.

  • Taken, net of refunds - By month, in the studio's own time zone, never mixing currencies.
  • Outstanding as of now - A debt from March is still a debt in June. A visit that happened and was not paid counts; a future booking does not.
  • Split by artist - Who earned what, in the period you are looking at.
  • Recorded, not collected - Runavel never takes money from your client. Deposits are written down here and paid to you however you already take them.
